Data Protection / Applicant Privacy Notice

1. Purpose of This Notice

This notice explains, specifically, how Caritas of Hope Foundation collects and uses personal data when you apply for a volunteer position, internship, or job with us. It supplements our general Privacy Policy and should be read alongside it.

2. What We Collect From Applicants

Depending on the type of application, we may collect:

• Your full name, email address, and phone number;
• Your age (for volunteer applications, to confirm you meet our minimum age requirement);
• Your location, education background, and relevant experience;
• A personal statement or motivation for applying;
• Your area(s) of interest and availability;
• Your CV/résumé, if the application form allows you to upload one;
• Any other information you choose to include in your application.

3. How We Use Applicant Data

We use the information you provide to:

• Assess your suitability for the role, internship, or volunteer opportunity applied for;
• Contact you regarding the status of your application, interviews, or onboarding;
• Coordinate your placement if your application is successful;
• Consider you for other suitable opportunities, if you have agreed to be contacted about future openings.

We do not use your application data for any automated decision-making. All applications are reviewed by a member of our team.

4. Who Sees Your Application

Your application is accessible only to authorised staff and administrators involved in reviewing applications for the relevant programme or role. We do not share applicant data with external parties except where required by law, or where necessary to verify information you have provided (for example, contacting a reference you have listed, with your knowledge).

5. Retention Period

If your application is successful, your data forms part of your volunteer, intern, or staff record for as long as your association with the Foundation continues, and for a reasonable period afterward as required for our records. If your application is unsuccessful, we retain your application for a limited period in case a suitable future opportunity arises, after which it is deleted or anonymised, unless you ask us to delete it sooner.

6. Your Rights

As an applicant, you have the same rights described in our general Privacy Policy, including the right to access, correct, or request deletion of your application data, and to withdraw your consent to future contact at any time. Withdrawing consent will not affect any application already in progress unless you specifically request it be withdrawn.
